Privacy notice.

SettleMe (settleme.co.za) provides invoicing software for South African businesses. For POPIA purposes, your business is the responsible party for the customer information you capture; SettleMe acts as the operator processing it on your instructions.

Your account details (name, email, password hash), your business profile (including banking details you choose to show on invoices), the customers and invoices you create, files you upload (logo, proof of payment), and operational logs such as invoice views and email deliveries.

Only to run the service: issuing and delivering invoices, tracking their status, sending the reminders and notifications you configure, and keeping the audit history the product promises. We don't sell data, and we don't use your customers' details for our own marketing.

We share data only with the infrastructure needed to operate: hosting and database providers, email delivery, and — if you enable payment links — PayFast, which processes card payments so that no card data ever touches SettleMe.

Data is encrypted in transit and at rest, with South African data residency planned for production infrastructure. Access is limited to your business's members under the roles you assign.

You can access, correct, export, or ask us to delete your personal information. CSV export is built into Settings; for deletion requests email us and we'll confirm before anything is removed. Invoice records you've issued may be retained where tax law requires it.

We use a session cookie to keep you signed in and a preference cookie for your active business. No third-party advertising or tracking cookies.

Account data lives for the life of your account. Issued invoice documents are retained in line with SARS record-keeping expectations (up to 7 years) even if individual customers are archived.
